Scroll Formatting

Scroll formatting means moving through a document while viewing or editing its contents. It allows you to navigate quickly to different parts of the document.

Ways to scroll:

  • Use the mouse wheel to move up or down.
  • Drag the vertical scroll bar on the right side.
  • Drag the horizontal scroll bar at the bottom to move left or right.
  • Use the Page Up, Page Down, Arrow keys, Home, and End keys.

Formatting Paragraphs with Line and Paragraph Spacing

Paragraph formatting improves the appearance and readability of a document.

(a) Line Spacing

Line spacing is the distance between lines of text in a paragraph.

Common options:

  • Single (1.0)
  • 1.15
  • 1.5
  • Double (2.0)

Steps:

  1. Select the paragraph.
  2. Go to Home → Paragraph group.
  3. Click Line and Paragraph Spacing.
  4. Choose the desired spacing.

(b) Paragraph Spacing

Paragraph spacing is the space before or after a paragraph.

Steps:

  1. Select the paragraph.
  2. Open the Paragraph dialog box.
  3. Under Spacing, set:
    • Before
    • After
  4. Click OK.

Adding Header and Footer

A Header appears at the top of every page, while a Footer appears at the bottom.

They usually contain:

  • Document title
  • Chapter name

  1. Go to the Insert tab.
  2. Click Header.
  3. Choose a style.
  4. Type the required text.

  1. Go to Insert → Footer.

  4. Click Close Header and Footer.

Page Numbering

Page numbering automatically adds page numbers to a document.

Steps:

  1. Go to the Insert tab.

    • Current Position
  4. Select a numbering style.
  5. Click Close Header and Footer.

Using Grammar and Spell Check Utility

Microsoft Word checks spelling and grammar errors automatically.

  • Red wavy underline: Spelling mistake.

Steps to check spelling and grammar:

  1. Go to the Review tab.
  2. Click Spelling & Grammar.
  3. Word displays each error.
  4. Choose one of the options:
    • Change – Correct the mistake.
    • Ignore – Skip the suggestion.
    • Add to Dictionary – Save a new word.

Keyboard Shortcut:

  • F7 – Starts the Spelling and Grammar check.
